The
Challenge

Corporate wanted to provide a gift to each resident at each location.
Holiday Retirement provides a gift to 30,000+ residents, but in years past, they have no control of under-ordering or over-ordering products. Furthermore, they lacked control over “rogue” spending. There is very limited data from past programs and the residents are not empowered to choose what makes them happy.
Communication was emails and spreadsheets back and forth by the Communities and Resident Experience.

Thumbprint created a program utilizing a custom web application and database to control choice, ordering process and budget.
Through a detailed consultation process, Thumbprint proposed an online solution that would provide the Resident Experience Team with transparency and accountability for this Resident Gift Program, empowerment to the Community Leaders, and choice and enjoyment for the Residents.

Imported the list of 30k+ residents into a database. Built an application for each community leader to sign into, see a list of their specific residents, and make a gift selection on their behalf.

Agreed upon an ordering window based on the client’s required in-hands date.

Four products to select: Lotion set, Snack set, Tumbler, Wristlet.

Distribute

Distribute

At distribution, packing slip included two forms of the selection for easy distribution. One sorted alphabetically by Resident Name, and one sorted by Gift. This made it easier for the Community Leaders to distribute the gifts to the Residents.

Measure

Created an administrative view for corporate leadership to track progress by gifts and by community. At end of window, thumbprint was able to easily order the four products based on the data. A buffer was added to each community to account for new residents after the order window closed.

Results

258 of 259 communities successfully ordered products for 100% of their listed residents.

One community had problems understanding the technology and Thumbprint manually entered the selections on their behalf.

The new program was significantly more efficient, targeted to the Resident’s preference, and was completed at 11% under budget.
